There are two levels of access available for the report: read-only and read/edit. Read-only access will not allow the user to use the audit functionality described in this section.
To generate a Statement manager report:
Note: If this report is not visible in your reports list, you will need to ensure you have the report linked to the report group you are a member of.
The Statement Manager window appears.
Account Issuer. This required field restricts the search to one particular account issuer or all issuers.
Statement Period. This option restricts the search to a particular statement period. To restrict the search by date range instead of period, leave the field blank.
Start Date/End Date. Set a date range for the period you want to review.
Posting Date. This option searches for transactions with a posting date (the date the transaction was lodged at the bank) that falls inside the date range specified in the Start Date/End Date fields.
Transaction Date. This option searches for transactions with a transaction date (the date the purchase was actually made) that falls inside the date range specified in the Start Date/End Date fields.
Statement level
Tax Receipt Audited - Admin. This option restricts the search to statements that contain transactions that have been checked or not checked for tax receipts by an administrator, or both.
Tax Document Audited - Admin. This option restricts the search to statements that contain transactions that have been checked or not checked for other associated documents by an administrator, or both.
Image Linked. This option restricts the search to statements that contain transactions with or without linked images, or both. Note: This option only displays if your organization has enabled the Image Module.
Transaction level
Note: If transaction-level filtering is not checked, the search results at the transaction level of the report show all transactions within the selected statement.
Tax Receipt Audited - Admin. This option restricts the search at the transaction level of the report to only those transactions that have been checked or not checked for tax receipts by an administrator, or both.
Tax Document Audited - Admin. This option restricts the search at the transaction level of the report to only those transactions that have been checked or not checked for other associated documents by an administrator, or both.
Tax Receipt Checked - Employee. This option restricts the search at the transaction level of the report to only those transactions where the employee has provided or not provided tax receipts, or both.
Image Linked. This option restricts the search at the transaction level of the report to only those transactions with or without linked images, or both. Note: This option only displays if your organization has enabled the Image Module.
Enhanced Data. This option restricts the search at the transaction level of the report to only those transactions with or without enhanced data (extra information appended to a transaction at the point of sale), or both.
Employee information
Employee ID. To restrict the search to a particular individual, enter their unique employee ID in the field.
Employee First name/Employee Last name. To restrict the search to a particular name, enter the full or partial name in the fields. For example, ‘dan’ as a first name would return account holders with names beginning with Dan, such Daniel or Danny. Entering ‘%dan’ returns names containing dan, such as Daniel or Brendan.
Company Unit. If your organization uses company units, you can restrict the search to a particular unit (and anything lower in the hierarchy), all units or any employees not allocated to a unit. Company units are displayed in the list according to the company's hierarchical structure.
Sort By. This option allows you to display the search results by the employee's first name or last name.
Transaction type and amount fields
Transaction Type. This option restricts the search to transactions of a particular type.
Source Currency. This option restricts the search to transactions made in a particular currency.
Billing Currency. If your organization operates in more than one country, you can restrict the search to transactions billed (charged) in a particular currency.
Transaction Amount. To restrict the search by billing amount, use the comparison operators (=, <, >, <=, >=) in the drop-down box and enter an amount in the text box.
Statement and transaction status
Statement Status. This option restricts the search to transactions that belong to a statement with a particular statement status.
Transaction Status. This option restricts the search to transactions with a particular transaction status.
Approval Status. This option restricts the search to transactions with a particular approval status.
Disputed Transactions. This option restricts the search to disputed transactions.
Supplier details
Supplier Name. To restrict the search to a particular supplier, enter the full or partial name in the field. For example, ‘sm’ would return suppliers beginning with 'sm', such as Smith Holdings.
Merchant Group. This option restricts the search to transactions from suppliers belonging to a specific merchant group.
Merchant Category. This option restricts the search to transactions from suppliers belonging to a specific merchant category. To define the merchant category, type its full or partial name. For partial names, use the wildcard character %. For example, if you enter %or, the search could potentially find transactions for suppliers belonging to the Florists or Book Stores merchant categories. You can also define a merchant category by entering its official merchant category code. You can search by multiple merchant categories by typing a range (eg. 1000-2000) or a delimited list (eg. 7011^3357^3012).
Coding information
Missing Code. This option restricts the search to transactions missing a particular code type (ie. general ledger, cost centre or project).
GL Code. This option restricts the search to transactions with a particular general ledger code. This field supports wildcard searching (use of the % character). For example, if you enter %10, that search would find all transactions coded to a GL code containing 10.
CC Code. This option restricts the search to transactions with a particular cost centre code. This field supports wildcard searching (use of the % character). For example, if you enter %10, that search would find all transactions coded to a cost centre code containing 10.
Project. This option restricts the search to transactions with a particular project code. This field supports wildcard searching (use of the % character). For example, if you enter %10, that search would find all transactions coded to a project code containing 10.
Additional fields
This section allows you to define what fields display in your report. A sort icon allows you to control by which field the results are sorted and whether the results are alphabetically ascending or descending. To change the field by which the results are sorted, click to the right of the field. The sort icon
will move beside that field. To display the results in alphabetically descending order, click the upward facing arrow. It will change to
