Assign employees to approval roles

In order for the Shared Travel Services Workflow functionality to work correctly, employees must be assigned to approval roles, both as approvees and as approvers. Employees assigned an approval role will see the Approvals link on their home screen and will be required to perform the appropriate approval role within the system. Employees assigned to an approvee role become subject to all approval rules associated with that approvee rule. Employees can be assigned to multiple approval roles.

Note: You can also add an employee to an approval role via the human resources (HR) interface file. This is done by adding the approval role name in the Approval Role column of the file to the right of each employee name.

To assign employees to approval roles:

  1. From the main menu, select Administration > Overview > Administration Overview.

    The Administration Overview screen appears.

  2. Click the Employees button on the administration overview diagram.

    The Employee Search window appears.

  3. Use the search criteria defined in the Search for employee procedure to narrow the search for the employee(s) you want.

    The Employee Administration screen appears.

  4. Click White circle with grey outline beside the employees you want to add to the role. The icon becomes a red check Red check in white circle with grey outline.
  5. Click Grey check in white circle with grey outline at the bottom of the list of employees. If you want to select all employees, click All and click Grey check in white circle with grey outline.

    The Employee Management window appears.

  6. Select Approval Roles from the sidebar.
  7. Click Grey plus symbolnext to the approval role you would like to add for these employees.
  8. If you want to add an expiration date for this action, click the calendar beside Expiration (Optional) and select a date from which to automatically remove the employee(s) from this role.
  9. Click Done.
