Templates
You can save your most commonly used Spend Wizards as templates to reduce the time used to complete new ones. Templates can be saved for personal use, but if you have sufficient user rights, you can also save them for company-wide use.
Note: This feature is available for all custom Spend Wizards except the Accommodation, Meals and Incidentals Spend Wizards.
To create a template:
- Select the form you want to use from the Out of Pocket Expense: Details window.
- Complete the details for the form.
- Click Save Template.
The Save Template window will display.
- Enter the Name and Description of the template. The description should be self explanatory, and useful for identifying how and when the template should be used.
- In the Visibility field, select Personal if the template will be visible only to you, select Company if other users in your company will also be able to use the template.
Note: Only users with the User Right - Manage Company Expense Templates right will see both options. Without this, your templates will be saved as personal templates and you will not see this field.
- Click Save.
To select/edit an existing template:
- Select the form you want to use from the Out of Pocket Expense: Details window.
- Click Select Template.
- The Select Template window will display with the available Personal and Company Templates. Click
next to the template you want to use. Hover over the template name to display the description that was entered when the template was created.This will pre-populate the form with details from the template.
- Make the necessary changes to the form and click Save Template.
The Save Template window will display.
- Enter a Name for the template. If you enter a name that is identical to an existing template with the same visibility, you will be asked if you want to overwrite the template.
- Click OK to overwrite the template or Cancel and enter a new Name for the template.
To delete a template:
- In the Out of Pocket Expense: Details window, click Select Template.
- The Select Template window will display with the available Personal and Company Templates. Click
next to the template you want to delete. Note: If you do not have the User Right - Manage Company Expense Templates, you will not be able to delete company-level templates.
- Click OK to confirm the deletion.
