Foreign exchange rate calculator

The foreign exchange rate calculator is used to calculate the weighted average exchange rate for a trip. Information from exchange receipts is used in the calculation, but if you do not have any exchange receipts, an average will be calculated for you based on the period when you were in that country.

The calculator can only be accessed from the Travel Request screen and the link to the calculator is only visible once the requisition is approved.

To use the foreign currency exchange calculator:

  1. Click Home in the global menu.
  2. Under the menu heading Travel Request, click Statement - your name.

    The Travel Request & Expenses screen will display.

  3. Click Foreign Exchange Rate Calculator on the top-right hand side of the screen.
  4. The Foreign Exchange Rate Calculator screen will display.
  5. Click Add Foreign Currency.

    The Add Foreign Currency screen will display.

  6. Complete the fields in the Foreign Currency Purchased section.

    Currency. Select the currency you used during the time you were in the country.

    Date Entered Country. Enter the date you entered the country.

    Date Exited Country. Enter the date you exited the country.

    I have foreign exchange receipts. Select this if you have foreign exchange receipts.

    From Currency. Enter the source currency used to buy the currency.

    From Amount. Enter the amount of source currency used.

    To Amount. Enter the amount of foreign currency you bought.

    Exchange Date. Enter the date the exchange was made.

  7. If you purchased currency more than once during your trip, click White plus in green circle to add more exchange information. Click White minus in red circle to delete a line.
  8. Enter the total you have spent in the Total Expenditure field.
  9. Click Save.
  10. Repeat the process to add another currency.
  11. Click Calculate Exchange Rate to calculate the weighted average exchange rate.
