Delegate account

If an employee is going on leave, or unable to code your statement for a period of time, you can delegate their statement to another employee for viewing and coding.

Using the Account delegation report is the primary way of managing delegations as it offers more advanced employee search capabilities. For example, you can list all the employees who are delegates for a certain person, or you can list all the accounts a certain person is delegated to.

However, if you have been assigned the administrator right User Right - Delegate Cards, you will also be able to delegate accounts to other employees via the Account Management area of the system.

To delegate an account to another employee:

  1. From the main menu, select Administration > Overview > Account Management.

    The Account Search window appears.

  2. Use the search criteria defined in the Search for account procedure to narrow the search for the account holder you want. Note: It is helpful to select the Card Delegation option in Additional Fields.
  3. Click Search.

    The Account Search screen appears.

  4. Click the account issuer's name to access the details of the accounts.

    Note: Delegating cash accounts will also delegate expense reports.

  5. Click White small letter 'i' in blue circle to the right of the account name.

    The View & Maintain Account Details window appears, defaulting to the Account Detail tab.

  6. Click the Delegation tab.
  7. Click Add New Delegate.

    The Employee Search window appears.

  8. Type all or part of your travel arranger's name in the fields and click Search. The results of your search are displayed.
  9. Click Grey person in white circle with grey outline beside the name of your chosen travel arranger. Shared Travel Services automatically updates and refreshes the Delegation tab but keeps the Employee Search window open for you to make further delegations if required. Close the Employee Search window to return to the Delegation tab.
  10. To set an expiration date for this delegation:
    1. Click Red calendar and select a date, then click Save.
  11. To manually remove the delegation without using the expiration date, click Two grey heads and shoulders with white cross in red circle.
  12. If your instance is configured to audit track account delegations, Grey clock with anti-clockwise circular arrow will display beside each account. Click this icon to show an account's delegation history.
  13. Click Close to return to the View & Maintain Account Details window.

Note: If a certain implementation option is enabled, you can also delegate an account by clicking Two grey heads and shoulders to the right of the account you want to delegate on the Account Search screen.
