Create charge code

If you have been given the access right Admin - Add/Modify Charge Code, you can create and edit basic charge codes through the application (although unable to add or edit parent-child code relationships - this functionality will still need to be created/managed through the charge code (CC) interface). When the right is enabled, the Create button appears on the Charge Codes screen.

To create a new charge code:

  1. Click the Charge Codes button on the Administration Overview diagram (Employee view).

    The Charge Codes window appears.

  2. Click Create.

    The Create New Charge Code dialogue box appears.

  3. Use the following field descriptions to define your charge code:

    Type. The type of code, for example, "GL Code". Code types are defined during the Shared Travel Services implementation.

    Note: The code type "Financial Node" is no longer available from this screen.

    Value. The code name, for example “GL100”. This must be unique for each code type.

    Note: This field supports spaces and all special characters, including , : ; ! @ # $ % ? + = ^ & " ' \ / | ~ and `. It is, however, not recommended you use ^ in your code name as it is interpreted as a delimiter (and is therefore not validated properly) when the charge code displays in other areas of the system.

    Description. A description of the code. Descriptions are restricted to 30 characters. If you want to type a longer description, use the Advanced Description field.

    Note: This field supports special characters such as , : ; ! @ # $ % ? + = ^ & " ' \ / | ~ and `. It does not, however, support non-printable ASCII characters such as carriage returns, tabs, new lines and form feeds. If accidentally included, non-printable ASCII characters will cause the upload to fail.

    It is not recommended you use ^ in your code description as it is interpreted as a delimiter (and is therefore not validated properly) when the description displays in other areas of the system.

    Status. This allows you to define whether your code is active or inactive. Inactive codes are are automatically locked and made unavailable to users.

    Advanced Description. Use this field if you want to save a more detailed description for your charge code. Employees will be able to see this description if they click Green small letter 'i' in white circle with grey outline beside the code in the code search window. This advanced description can also be added via the charge code (CC) interface file in the Extended Description field.

    Charge Group(s). This field allows you to add the new code to one or more charge groups.

  4. Click Save.
