Special travel arrangements: manual booking forms

The booking request form can be used for anything that cannot be booked in the online booking tool such as a different travel type. The Traveller details section will automatically be completed with the details from your profile or that of the person you are booking for.

Note: The Manual Booking Forms link is only available when there is not any travel added to your itinerary.

Non IATA Airports

The booking request form can be used to book flights from airports that do not exist in the Agency Reservation Systems and therefore cannot be retrieved in Manage Travel. An example would be a private unlisted airport. To book a flight from an unlisted airport, firstly type the airport name into the Leaving From box (after you have clicked Add new flight). Secondly, assuming the airport name is not displayed, click Unknown Airport, please specify. Complete the Airport name and other fields, click Add, and proceed to step 3 (see below).

To make a manual booking request:

  1. On the Travel menu, click Manual booking forms and then Booking request.
  2. To add a travel type, click the relevant Add button, for example Add new flight. Complete all the fields and click Add to save the information.
  3. The information is displayed in a table. If you need to go back and edit it, click the edit icon. To delete the information, click the trash can icon.
  4. If you have any special requirements, expand the Special requirements section and type them into the box. The feature allows you to enter special requests, to be viewed by the agent handling the booking. Note that you are not able to paste text into the field. Additional handling fees will apply to requests made via the special requirements box.
  5. When you have added all necessary travel, click Complete trip details to proceed to the Accounting/Payment Details page. Alternatively, click Cancel to clear any saved information and exit the Booking request form page.
