Add sub-amount field

To add a new sub-amount field:

  1. Click Right-facing white arrow in purple square to the right of the hyperlink (form) you want to add a sub-amount field to.

    Another view of the Module - Spend Wizard screen appears, showing you any components currently part of your form.

  2. Click the New Sub Amount link at the top of the screen.

    The Insert New Sub Amount Field window appears.

  3. Use the following field descriptions to enter the required information:

    Description

    Link to amount field

    From the drop-down list, select which amount field this sub-amount is to be linked to.

    Calculation Ratio

    The calculation ratio is used to determine how the value of an amount field is split between the associated sub-amount fields. There are three options:

    • No Bearing. This sub-amount field has none of its parent amount field's value allocated to it. It does not participate in any sharing of the parent amount field's value.
    • Equality Ratio. Sub-amount fields split the value of their parent amount field equally amongst all the sub-amount fields that have not been set to No Bearing.
      Note: Setting a sub-amount field to Equality Ratio will automatically set all peer sub-amount fields to Equality Ratio (unless they have previously been set to No Bearing).
    • Equity Ratio. Sub-amount fields split the value of their parent amount field amongst all the sub-amount fields (that have not been set to No Bearing) based on a ratio. For example, if one sub-amount field is “2” and the other is “3”, the first field will receive 2/5 of its parent amount field's value and the other will receive 3/5.
      Note: Setting a sub-amount field to Equity Ratio will automatically set all peer sub-amount fields to Equity Ratio (unless they have previously been set to No Bearing).

    Display Sort Order

    If several of these components are displayed on the page, the display sort order value determines the order in which they are displayed.

    Sub Amount Label

    The text that will display next to this field.

    Mandatory

    The Yes/No option controls whether or not the user is required to enter information in this field.

    Narrative Mandatory

    To the right of every amount or sub-amount field is a comment field for the user to enter information about the amount specified.

    This Yes/No option controls whether or not the user must enter text in this field. (This will only be mandatory if they have put an amount in the field to the left of it).

    Narrative Removed

    This Yes/No option will remove the narrative field to the right of the amount from the form.

    Narrative Select List

    This is a drop-down list you can use for this field rather than making it a free text field. For more information, refer to Understanding select lists.

    Linking On

    This Yes/No option determines if users can allocate employees or external contacts (non employees) against a sub-amount. Selecting Yes displays a linking icon Grey head and shoulders which, when clicked, opens an employee search window.

    Linking - Mandatory

    This Yes/No option determines whether or not it is mandatory for the user to use the linking functionality to identify which employees or external contacts benefited from or attended the event the transaction relates to.

    Linking - Type

    This Yes/No option determines whether an employee or external contact search window appears when the user clicks the linking icon.

    Online help text to be associated with this field

    The help text that displays for this field when the user holds their mouse over the White question mark in blue circle with white outline icon. This text is interpreted as plain text. You cannot use HTML tags.

  4. Click Save.

    The newly created sub-amount field appears as a light blue box on the Module - Spend Wizard screen diagram.
