Create manual prepaid transaction

To create a new manual prepaid transaction

  1. Select the requisition the transaction will be linked to.
  2. Select Manual Prepaid: Create New Item in the top right of the screen.

    Note: This link only displays for approved requisitions.

  3. Complete the details of the transaction.

    Description. The description defaults to the name of the requisition but may be changed to something more meaningful.

    Date. This defaults to today's date but you may change this to the correct transaction date.

    Billing Currency. This defaults to CAD, and, depending on the options enabled for your organization, may not be changed.

    Billing Amount. Enter the billing amount.

    Source Currency. This is the currency of the transaction.

    Source Amount. If this transaction is in the same currency as the Billing Currency, then this amount should equal the Billing Amount.

    Note: If the billing and source currencies are different, the values entered for the billing and source amounts may differ, but are not validated against any exchange rates.

  4. Click Save.

    The Expenses tab of the Transaction: Details window appears, from which you must select the option that best applies to the transaction you are creating.

    To view the transactions that are already linked to the requisition, click View Linked Transactions to display the information in another window.

  5. If you want to view the details you have entered on this window again, you can access them via the Summary tab of the Transaction: Details window.
  6. Complete the coding for the transaction.
  7. You now need to link this transaction to an expense report to submit it for approval.
