Add rated amount field

Custom Spend Wizards have been set up to use rated amount fields. However, you are not allowed to further add more rated amount fields to these wizards. You may continue to use this process for standard Spend Wizards.

To add a rated amount field:

  1. Click the Module - Spend Wizard link in your Administration menu (under the Instance Management heading).

    The Module - Spend Wizard screen appears, which you use to create Spend Wizards.

  2. Click Right-facing white arrow in purple square to the right of the hyperlink (form) you want to add a rated amount field to.

  3. Click the New Rated Amount link at the top of the screen.

    The Insert New Rated Amount Field window appears.

  4. Use the following field descriptions to enter the required information:

    Field

    Description

    Company Unit

    A drop-down list that determines the company unit this component will display for.

    Account Issuer

    A drop-down list that determines which account issuer this component will display for.

    Account Type

    A drop-down list that determines which account type this component will display for, eg. corporate card, requisition card or all types.

    Issuer Type

    A drop-down list that determines which issuer type this component will display for.

    Billing Currency

    A drop-down list that determines which billing currency this component will display for.

    Source Currency

    A drop-down list that determines which source currency this component will display for.

    Home Country

    A drop-down list that determines the home country of the employee this component will display for. This option is of main use for companies with base operations in currency regions such as the EU. Otherwise, it is recommended to use billing/source currency filters.

    Source Country

    A drop-down list that determines the country of the transaction supplier this component will display for. This is the physical country of the supplier and is of main use for companies with base operations in currency regions such as the EU. Otherwise, it is recommended to use billing/source currency filters.

    Display Sort Order

    If several of these components are displayed on the page, the display sort order value determines the order in which they are displayed.

    Rated Label

    The text that will display next to this field.

    Rate Formula

    A drop-down list from which you need to select what rate will be used for this field. The rates in this list link back to the rates you have created within the Rate Tables area of the system.

    Rate Type

    There are three options to select from:

    • Clock Start and Clock End. This option requires employees directly enter the number of days and hours they were away from their home location in order to calculate their cash expense reimbursement.

     

    • Clock Days and Hours. This option displays a tool to help employees specify the number of days and hours they were away from their home location in order to calculate their cash expense reimbursement. Using the calendar, they can select the day they started or ended their trip, and by moving the brown ball on the clock on the right of the window, they can select the time of day.

     

    • Straight Rate. This option requires employees directly enter the number of kilometres or miles travelled in order to calculate their cash expense reimbursement.

      Note: Rated amount fields are limited to 4 numeric figures, which means if the user was claiming mileage, the maximum individual trip would be 9999 miles/kilometres.

     

    • Mileage Calculator. This option requires employees to use Google Maps to map their route. The distance is calculated in miles or kilometres.

    Receipt Override

    This Yes/No option overrides the rules for when the receipt check boxes and image on a transaction are mandatory. This is also relevant when certain tax codes are applicable depending on the receipt check box status. For example, for out-of-pocket expense items, such as a living allowance, making the receipt Yes/No check box mandatory may not be applicable. Or, in some cases, you may want to allow a tax code, even though the user does not have a receipt.

    Online help text to be associated with this field

    The help text that displays for this field when the user holds their mouse over the White question mark in blue circle with white outline icon. This text is interpreted as plain text. You cannot use HTML tags.

  5. Click Save.

    The new rated amount field automatically appears as a blue box on the Module - Spend Wizard screen diagram.
