Map account to employee

The first time an account's details are uploaded from an issuer's data feed, they cannot be mapped to (match) an employee within your organization. As a result, you need to manually map (link) the account in the system. This mapping can also be achieved by using the card mapping (CM) interface file. In this file you provide the full account number and the unique employee ID so that a match can be made.

Note: If required, you can also check the previous mapping of an account to an employee. This is useful if you want to correct a mistake and return the mapping to its prior status. In the Account Search window, select Last Mapped To in the Additional Fields before running the search. For more information, see Search for Account.

To manually map an account to an employee:

  1. From the main menu, select Administration > Overview > Account Management.

    The Account Search window appears.

  2. Select the account issuer you are searching for from the Account Issuer drop-down list and check the Unmapped accounts only check box.
  3. Click Search.

    The Account Search appears.

  4. Click the account issuer name.

    The Account Search screen will display the unmapped accounts.

  5. To map the account details shown on this screen to the correct employee within your organization, click Grey head and shoulders to the right of the selected employee.

    The Employee Search window appears.

    Note: If your organization has the Account Mapping - Restrict Remapping of Virtual Accounts option enabled, this icon will not display for requisition, cash and child lodge accounts that have already been mapped.

  6. Enter the name of the employee you want to map the account to.
  7. Click Search.
  8. Click Grey person in white circle with grey outline to the right of the employee name you want the account to map to.

    If there was only one unmapped account on the Account Search screen and you have now mapped that account, a message will appear indicating you no longer have any unmapped accounts.
