Create manual email

To manually create an email:

  1. From the main menu, select Administration > Overview > Email Management.

    The Email Management screen appears, defaulting to the Manual view.

  2. To enter sender details:
    1. Click the From button. The Modify Email Settings window appears.

      Note: If default email address functionality has been implemented for your company, email addresses will automatically appear in the Sender Address and Reply Address fields. Editing of these fields may be locked for your company.

    2. Type the email address of the sender in the Sender Address field.
    3. Type the name of the sender in the Sender Name field. This mandatory field is the name you want the recipient to see when they receive the email.
    4. Type the email address you want any reply emails directed to in the Reply Address field.
    5. Click Save. The sender details are stored for future emails you create.

    1. Click the Report button. The Email Report Options window appears.
    2. Click the name of the report you want to add. The window displays further criteria for the report.
    3. Use the Select Issuer Period drop-down lists to specify the:
      • account types/issuers for the employees within your organization.
      • statement periods for the report you want to add.
    4. Click the Select Email Report link. Note: You can only add reports that are currently available in Shared Travel Services.
  5. To add a subject and message:
    1. Type the subject heading in the blank field below the email toolbar.
    2. Type your message in the large message field.
    3. If you want to format text to emphasize points or improve the layout, highlight the text and select the formatting option from the drop-down menu bar or the formatting toolbar.
  6. If you want to re-check the destination of your message (who the email recipients are) before sending it, click View Destination List.
  7. Click Send Message.
