Financial reporting

This functionality enables you to design, create, remove and re-order the hierarchical reporting structure in Shared Travel Services to create your organization’s financial reports. This allows you to control the reports your managers or other employees can view while enhancing the visibility of spend. Typically, this function will allow you to align your organization’s management structure to a reporting structure incorporating the various cost elements managers are responsible for.

Dynamic Financial Reporting for your organization can be viewed and managed by selecting Administration > Instance Management > Financial Reporting from the main menu. The Financial Reporting screen that appears will be blank (ie. no nodes showing) if no initial development has been done with the Shared Travel Services team.

This page can be used to create a reporting hierarchy relevant for management reporting within your organization. It is a powerful tool to provide focused and customized reporting to management, or other employees, into areas of spending they are specifically interested in.

The reporting structure above shows a company that is broken into departmental cost centres for reporting purposes. The hierarchy can represent the organizational structure, or any other form that is used for the internal reporting purposes of your organization.

This module is useful where the other reports available through the Reports link do not cover the specific areas management may be interested in, or are too detailed. It enables the creation of customized reports directed at specific employees or managers. For example, your organization may have several charge codes for recording stationery expenses. By creating a node and adding the charge codes for stationery to the node, a manager can see the overall spend for each code, and also drill down to the lowest level of detail on the stationery spend.

You can add employees at any reporting node level. They will be able to see the node they have be given rights to, and all child nodes attached to it. They will not be able to access parent reporting nodes of the nodes they have been given rights to view.

Note: You are also able to upload your organization’s Financial Reporting structure via the charge code (CC) interface file.
