View statement periods
The Statement Periods screen displays all statement periods recorded in Shared Travel Services for your organization - whether they be open or closed. The screen displays periods by account type, eg. card (from one or more issuers), out of pocket expenses, phone and/or requisitions.
All account types (other than cash)
Account statements within each period are grouped according to status:
- N (New). Number of account statements in the open period that have not been viewed by the employee.
- O (Open). Number of account statements in the open period that have been viewed but not updated (eg. coded) by the employee.
- U (Updated). Number of account statements in the open period that have been viewed and updated by the employee.
- C (Completed). Number of account statements employees had to mark as complete in order for their transactions to be released for approval (only relevant when Mark Statement Complete functionality is enabled).
- CN (Closed New). Number of account statements in the closed period that are in the N status.
- CO (Closed Open). Number of account statements in the closed period that are in the O status.
- CU (Closed Updated). Number of account statements in the closed period that are in the U status.
Cash statements
Out of pocket expenses within each period are grouped according to status:
- A (Active). Number of out of pocket expenses in the open period that have not yet been sent for approval, or have been sent for approval but have been returned to the employee for more information.
- PA (Pending Approval). Number of out of pocket expenses in the open period that have been sent for approval.
- PE (Pending Extract). Number of out of pocket expenses in the open period that have been approved and are waiting to be extracted.
- CUE (Closed, Un-Extracted). Number of out of pocket expenses in the closed period that are in A or PA status.
- E (Extracted). Number of out of pocket expenses in the open or closed period that have been extracted.
To view a breakdown of the statement period:
- Click
to the right of the period you want to view. The table that displays on the Statement Periods screen lists each account statement in the period, including the employee (if mapped), a transaction count, and transaction and statement totals.
- If required, you can export the data by clicking the Export to Excel.
