The image library offers each user a personal image library that can be accessed from various areas in the solution. By browsing to your receipt images, you can upload them directly into the library, or you can email them into your library via your email application or smartphone. What's more, if your organization is using upload fax functionality, you can fax a sheet of receipts into your image library.
Once stored in the image library, you can easily and quickly link image receipt(s) to transactions within your expense reports, account statements or requisitions, or to individual card or cash transactions.
When the image library is enabled, an Image Library item appears in your main menu, and the Manage Receipt Images link displays at the base of your account statements, requisitions and expense reports.
Shared Travel Services automatically tracks which users have uploaded receipt images and when. It tracks how they were uploaded (via web, email or fax), their file IDs, and whether or not they have since been deleted. This information is viewable via the Audit Tracking report.
Note: Deleting an employee record from the system removes all traces of that employee, including any receipt images loaded by the employee. If a report is run on a card previously mapped to the deleted employee, no images are shown. Employee records should not be deleted if there may be a future need to access their receipt images.
