Upgrade your role

If you need to upgrade your role from Travel arranger only to Traveller and arranger so that you can arrange travel for yourself as well as for others, click Upgrade to Traveller and arranger at the bottom of the page. This directs you to the wizard in which you can enter the additional information required for a traveller. This wizard is effectively an additional registration process that is then added to the original registration to expand your role.

To upgrade your role:

  1. At the bottom of the page, click Upgrade to Traveller and arranger. The upgrade wizard starts with the Personal details form.

    Tip: After you have completed or finished each box, either press the TAB key to move to the next one, or point and click with the mouse.

  2. You will see that several boxes that were not previously completed are marked with *. These are mandatory and include:
    1. Title

      Click the arrow to the right of this box to select from the list provided.

    2. Gender
    3. Date of birth

      As indicated, the format for entering your date of birth is precise, using two digits for the day (DD), two for the month (MM) and four for the year (YYYY).

    4. Names

      As indicated with the displayed warning, your name shown here must match the information on your passport so, if another name is displayed in the name box(es), you must change it to the correct, matching information. If required, you can type the name you are Known as in the box provided, for example in the case of a nickname, if this feature has been configured on your system.

  3. When you have changed or completed all necessary information, click Next.

    Warning: If you have omitted information for any of the mandatory boxes, marked with *, a message will be displayed. Ensure that you complete the information click Next.

  4. The second step of the wizard provides the opportunity to modify and add the following:
    1. Contact details
    2. Notifications
    3. Emergency contact details (next of kin)

      Note: Some boxes are not marked with *, indicating that they are optional. However, it is recommended that you read them and enter information if you believe it will be helpful. You may also see two or more conditional mandatory boxes marked with (*). If this is the case, you should ensure that you complete at least one of them, but do not need to complete them all unless you wish to. This feature is likely to be present where there are multiple boxes for different types of telephone numbers.

      You may need to provide your email address before you can proceed to the next step, depending on the configuration of your system. If present, it is likely to be mandatory.

  5. When ready, click Next.
  6. You now need to provide your passport details. If you do not have them to hand, you can leave most of this area blank and provide them later, but you must at least provide the country of issue for the passport.

  7. When ready, click Next.
  8. In this step, you provide details of your position. This form is fully configurable and may include features not described here and some of those described may have different names or are not supplied on your system.
  9. The following are some examples of information that may be requested. The boxes may be mandatory or optional, may provide data entry tips and some may be validated so that the correct format of information is entered correctly. Where you can select from a list, an arrow is displayed to the right of the box. Click the arrow and select from the list.
    1. Job title
    2. Department
    3. Employee type
    4. Grade
    5. Account name

      This is mandatory but may be pre-populated. Depending on configuration, you may be required to select a value from a list.

    6. Cost code
    7. Line manager name
  10. When ready, click Next.
  11. This is the final step which will tell you if you have completed all the information and all steps have proceeded without fault. If a mandatory step has not been included, an error message will be displayed. You will need to click Previous to return to the step where information was excluded or incorrect.
  12. When all steps are completed correctly, click Next to confirm. The upgrade is complete.
