User search
If your profile allows you to arrange travel on behalf of another person, i.e. Travel arranger only or Traveller and arranger, you can use this area to search for a traveller for whom you need to arrange travel. You need to be authorized as the arranger for this traveller.
To search for a user:
- If necessary, click the Manage profile menu at the top of the page. Click User search in the navigation area on the left of the page.
- Enter one or more of the following criteria to begin the search:
- First name
- Last name
Note: You must supply at least two characters from any one of the above for the search to run.
- Click Search.
If more than one result fits the specified criteria, a list is displayed. You can modify the criteria and search again to reduce the number of results or scroll through the results and select the correct user.
Authorized arrangers body
If you are a Traveller only, or a Traveller and arranger, you can use this area to search for and select Arranger groups or Arrangers in your company. You can then authorize the selected arranger group or arranger to arrange travel on your behalf. This also provides those authorized with the ability to manage the profile information of the travellers with regard to information such as passports.
To authorize an Arranger group:
- If necessary, click the Manage profile menu at the top of the page.
- Click Authorized arrangers in the navigation area on the left of the page.
- In the Search for an arranger group/arranger area, enter search criteria in the Arranger group name box.
Tip: If you cannot remember the entire name of the arranger group, you can enter part of it. If you can enter the first few letters accurately, this will provide better results.
- When ready, click Search.
- Once the results are visible, scan through the list to find the one you want. To check the members of the arranger group, click its name on the left.
The names of the arrangers within the arranger group are displayed in an information box. This box is for information only.
- When ready, click Close on the information box.
- Once you have found the arranger group you wish to authorize, click Select on the right. The selected arranger group now appears in the list of Authorized arrangers below. If you have added more than one arranger group, they will all be listed.
Any members of listed authorized arranger groups or individual listed arrangers are now able to arrange travel on your behalf.
- Your changes are saved automatically.
To authorize individual arrangers:
- If necessary, click the Manage profile menu at the top of the page.
- Click Authorized arrangers in the navigation area on the left of the page.
- As with searching for an arranger group, you can also search for the names of individual arrangers, using first name, last name or both. You can enter part of the name if you are not sure of the entire name. It is most effective if you start with the first few letters of the name.
- Click Search.
For individual arrangers, the email address is displayed.
- Click Select on the right to add the arranger to the list of Authorized arrangers below.
- Changes are saved automatically.
To remove authorization:
If you wish to, you can remove authorization for one or more arranger groups or arrangers. For example, if you change offices, you might want to change authorized arranger groups or arrangers to those at your new local office.
- If necessary, click the Manage profile menu at the top of the page.
- Click Authorized arrangers in the navigation area on the left of the page.
- Locate the row for the arranger or arranger group for which you want to remove authorization.
- Click Delete to the right of the row. A dialog will ask for confirmation of the deletion.
- Click OK to confirm, or Cancel to retain the record.
- Your changes are saved automatically.
