Account Management is the area of the system used to manage a number of different account types, including card, cash and requisition accounts.
A cash account is used by the employee to make expense reimbursement claims for their out-of-pocket expenses. A requisition account is used by the employee to create a request for approval prior to a trip. Cash and requisition accounts are created as internal 'virtual' accounts, ie. they don't belong to an issuer or exist outside the solution. Internal virtual accounts are mapped (linked) to an employee at the time of account creation. Once created, they are managed the same way as card accounts.
A card account integrates Shared Travel Services with a third-party credit card issuer and is mapped to an employee who is given a physical credit card. The first time a card account's details are uploaded from an issuer's data feed into Shared Travel Services, the system isn't able to automatically map it to an employee within your organization. As a result, you need to manually map the account in the system.
A lodge card is a type of credit card a company 'lodges' with a single supplier that multiple people in the company can use. An employee lodge account is created automatically in Shared Travel Services during the upload of a card data file from the card issuer when there is a new user identification number associated with a transaction. In situations where the identification number is not available, the transaction remains with the base or parent lodge card and the administrator has to manually create the account before the transaction can be transferred to the employee. The new employee lodge account is linked to a ‘parent’ lodge account (representing the actual physical card).
You access account management functionality by selecting Administration > Overview > Account Management from the main menu. Depending on what administration rights you have been granted, you will be able to map accounts to employees, view and maintain account details, suspend/reactivate accounts, delegate accounts, delete unmapped accounts, and create virtual accounts.
