The following is a list of all the components you can use to build Spend Wizards. For a more detailed description of each component, refer to the sub-sections in this online help. These sub-sections cover the creation, editing and deletion of each component type and describe how they appear in the final form.
Component |
Function |
Headers are pieces of text that appear at the top of the Options tab to help the user understand the purpose of Spend Wizards. |
Hyperlinks are the Spend Wizard links that appear in the centre of the Options tab. |
Amount fields enable the user to allocate an expense to one or multiple cost codes by simply entering the value in the relevant amount field or splitting the transaction across multiple amount fields. |
Sub-amount fields are used to provide a more in-depth breakdown of an amount field's value. |
Location fields are used to capture the location where a spend was incurred. |
Date fields provide an area for an employee to give more information regarding the timing of their spending. |
Question fields are used to capture the answer to Yes/No questions from employees. |
A rated amount field is used when an employee needs to calculate an amount that is based on a rate, eg. a mileage rate or a per diem/daily allowance. These are primarily used when building requisition or out-of-pocket expense forms. To find out more about building rated amount fields, refer to Rate and currency management. |
Narrative fields (free-text fields) provide an area for an employee to type a comprehensive answer, or explanation, regarding their spending. |
Select lists (with your own defined list of drop-down values) can be used in place of narrative (free-text) fields. |
Text fields are used to create pure text fields on a form’s Allocation tab or Comments tab. |
External Link functionality allows you to add a URL hyperlink to the Links tab of a Spend Wizard. |
The Coding component helps you accurately distribute the value of a transaction to the appropriate cost codes for your organization. |
Section headers are used to create a number of headings (labels) on a form's Allocation tab or Comments tab. |
Test View allows you to view and test how the form will appear to employees while you are designing it. |
Viewing Dimensions |
When you add many of the above components to a Spend Wizard, you can specify information for up to seven criteria (dimensions) and the system will apply the form to transactions based on these dimensions. Dimensions include: company unit, account issuer, account type, billing currency, source currency, home country and source country. If you want to view your Spend Wizard based on a certain set of dimensions, click the Viewing Dimensions link at the top of the screen. You can select up to four of the dimensions, therefore limiting the view to only those Spend Wizards that use those dimensions. |
